Project application process for microdata research

How to submit your project request in 6 steps. You have started a new project. Finalise your project request in the CBS Microdata portal by following 6 steps:
Step 1 Fill in the attachments
Fill in the attachments listed on the task list in Home:
- Attachments 1. and 2. Research proposal and Publication plan.
- Appendix 3. GDPR legal bases and purpose.
Click on the attachment to fill in the sections. Click ‘Save’ to save the text entered, so that you can add or edit information later. Once completed, click ‘Finalise’. It is then no longer possible to make any changes.
Go to My projects and open the project. The various components can be added on the right.
Step 2 Add expected publication dates
Enter the expected dates of publication by clicking ‘add expected publication dates’.
If you do not know the exact publication date yet, fill in an estimated publication date. It is possible to add multiple expected dates of publication. You can always change this, or add new dates, also during the project. You will receive a reminder email 14 days before the expected publication date.
Step 3 Add team members
A project can only start if an authorised signatory, a project manager and a researcher from the same organisation are added. Some roles can be additional to other roles.
- Authorised signatory Please fill in the details of the person who will sign the project agreement and is authorized to sign legally on behalf of the institution. If you are unsure about their authority,
lease consult your institution’s Chamber of Commerce Business Register Extract (KvK) or contact your legal or administrative department. - Project leader Please fill in the details of the person who will be responsible for the project during its duration.
- Researcher Please fill in the details of the person who will conduct the research in the Microdata environment.
All available roles are listed below:
- Researcher Microdata environment account.
- Researcher+ Microdata environment account and the following authorisations (unless deselected by the project leader).
Authorisations:
- Submit for review (the user is the contact person for the project request. The project leader must approve the cost overview before the project starts).
- Add files & add services (the project leader must approve the costs involved).Add expected publications.
- Change projectstatus.
- Approve costs.
- Consult project card.
- Onlooker reading rights for the onlooker (for guidance during the research).
- Onlooker with reading rights reading rights for the onlooker (for guidance during the research by using their own account to access the Microdata environment).
- Authorised signatory Person who signs the project agreement (can be additional to other roles).
- Project leader project manager (excluding any other role).
- Project leader and Researcher project manager + researcher.
- Project leader and Onlooker project manager + onlooker.
- Project leader and Onlooker with reading rights project manager + onlooker with reading rights.
It is also possible to add members of other organisations as team members if they have their own user account for the CBS Microdata portal. You will then need to fill in the email address linked to the account. At least one researcher from your own organisation should work on the project.
Step 4 Add files
Add data files to your project. Click ‘Add File’ and your own data files or CBS data files. Include at least 1 CBS data file.
Step 5 Add Additional services
Add additional services to your project, if needed. For example, use of specific software.
Step 6 Submit for review
Have you gone through all the steps, or do you need help? Click ‘Submit for review’. Here you can also submit questions or comments. You should at least include one completed research proposal in order for CBS to process your request. Your proposal will be reviewed, and the status of the project has now changed to ‘Review’. The CBS Microdata team will contact you shortly about your request.
